This Privacy Policy explains how the European Architecture Design Award (“EADA”, “we”, “us”, “our”) collects, uses, and protects personal data from participants, visitors, and partners.

We respect your privacy and are committed to protecting your personal data in accordance with applicable data-protection laws, including the EU General Data Protection Regulation (GDPR) and relevant privacy laws in Hong Kong and California (CCPA / CPRA).

EADA is owned by Farmani Group Inc., USA, and operated under license by Blue Dot Solutions Limited, Hong Kong.

• For entrants based in Hong Kong, the data controller is Farmani Group Inc., 5101 Santa Monica Blvd, Ste 8 PMB 1192, Los Angeles, CA 90029, USA. Email: info@farmanigroup.com.
• For entrants based outside Hong Kong, the data controller is Blue Dot Solutions Limited, 20F Euro Trade Center, 21–23 Des Voeux Road Central, Hong Kong. Email: support@architecturedesignaward.eu.

Both entities are collectively referred to as “EADA,” “we,” or “us.”

In accordance with Article 27 of the EU General Data Protection Regulation (GDPR), EADA has appointed a representative within the European Union to act as a point of contact for data subjects and supervisory authorities concerning the processing of personal data by EADA.

We collect and process the following categories of data.

a. Data you provide directly

• Registration details (name, email, phone number, organisation, address, country)
• Account credentials and project submission information
• Images, drawings, text, or files uploaded for participation
• Billing information and payment confirmation
• Correspondence with EADA by email or form submission

b. Data collected automatically

• IP address, browser type, operating system, device ID
• Date and time of access, pages visited, referral source
• Cookie and analytics data (see our Cookie Policy)

c. Data from third parties

• Payment processors (for fee transactions)
• Email marketing platforms (for newsletters)
• Analytics and hosting services

• To process registration, submissions, and award participation — performance of a contract (Art. 6(1)(b) GDPR)
• To communicate with participants and provide updates — legitimate interest (Art. 6(1)(f) GDPR)
• To manage billing and payments — legal obligation / contract
• To publish winning projects and designers — legitimate interest & consent
• To operate website analytics and improvement — consent (via cookie banner)
• To comply with legal or regulatory obligations — legal obligation

EADA will never sell your personal data to third parties. We only share your information as necessary to operate the Award, fulfil contractual obligations, or comply with legal requirements.

Personal data may be shared between Farmani Group Inc. (USA) and Blue Dot Solutions Limited (Hong Kong) as part of the Award’s operation.

Data may also be shared with:

• Jury members or expert evaluators
• IT and hosting service providers
• Marketing and newsletter platforms
• Payment processors (e.g., Stripe, PayPal or Airwallex)

Data may be transferred to countries outside the EU / EEA, including Hong Kong and the United States. EADA ensures appropriate safeguards such as Standard Contractual Clauses (SCCs) or equivalent mechanisms to protect your data.

EADA does not engage in automated decision-making that produces legal effects concerning individuals. Any profiling activities, such as statistical analysis or marketing segmentation, are conducted solely to improve services and communications and do not result in automated decisions about participants.

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected.

• Registration and award-participation data: up to 7 years after the end of the award cycle
• Publication and archive data (e.g., winning projects): may be retained indefinitely for historical record
• Payment and accounting data: retained as required by law

After expiration, personal data will be securely deleted or anonymised.

Depending on your location and applicable laws, you have the following rights regarding your personal data:

• Right of access
• Right to rectification
• Right to erasure (“right to be forgotten”)
• Right to restriction of processing
• Right to data portability
• Right to object to processing (including marketing)
• Right to withdraw consent at any time. Withdrawing your consent does not affect the lawfulness of processing carried out before the withdrawal (Article 7(3) GDPR).
• Right to lodge a complaint with a supervisory authority

We use appropriate technical and organisational measures to protect your data from unauthorised access, loss, or misuse. This includes SSL/TLS encryption in transit, one-way password hashing (passwords are never stored in clear text), restricted access to stored data, and secure hosting environments.

If you subscribe to our newsletter or indicate interest in updates, your name and email will be used for that purpose only.

You may unsubscribe at any time using the “unsubscribe” link in each email or by contacting support@architecturedesignaward.eu. Unsubscribing will not affect your participation in the Award.

If you are a resident of California, you may have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA). These include the right to:

• Request disclosure of the categories and specific pieces of personal data we have collected about you;
• Request deletion of your personal data, subject to legal exceptions;
• Opt out of the sale or sharing of your personal data; and
• Not be discriminated against for exercising any of these rights.

EADA reserves the right to update this Privacy Policy periodically. The latest version will always be available on our website and marked with the date of the most recent update.
